When you become a member of Ethos Sophia, we collect the following information:

— Why you are interested in AI ethics
— What you hope to gain from the community

When you use the platform, we also collect:

— Course progress and completion data
— Login session data (via cookies)
— The date and time you joined

We do not collect payment information. Membership is free, always.
We do not collect your IP address for identification purposes.
We do not use tracking pixels or behavioural advertising tools.

HOW WE USE YOUR DATA

We use the information you provide to:

— Create and manage your member account
— Enrol you in courses and track your progress
— Send you a welcome email when you join
— Issue your course completion certificate
— Communicate important updates about the platform
— Understand who our community is so we can serve it better

We do not use your data for advertising.
We do not use your data to build profiles for commercial purposes.
We do not send marketing emails without your consent.

WHO WE SHARE YOUR DATA WITH

We do not sell your personal data to any third party. Ever.

Your data is shared only in the following limited circumstances:

— Our hosting provider stores your data on secure servers. They act as a data processor on our behalf and do not have access to your information for their own purposes.
— Our email delivery service (cPanel SMTP) is used to send transactional emails such as your welcome message and course certificate. They process your email address only to deliver these messages.
— If required by law, we may disclose information to comply with a legal obligation.

No other third parties have access to your personal data.

Ethos Sophia uses cookies to operate the platform. Cookies are small text files stored on your device.

Right to deletion — You can request that we delete your account and all associated personal data. To do so, email us at info@ethossophia.org with the subject line “Account Deletion Request”. We will action this within 30 days.

Right to portability — You can request a copy of your data in a commonly used format.

Right to object — You can object to how we process your data in certain circumstances.

Right to restrict processing — You can ask us to limit how we use your data while a dispute is resolved.

If you believe we have not handled your data appropriately, you have the right to lodge a complaint with your national data protection authority.

DATA RETENTION

We retain your personal data for as long as your account is active. If you request deletion of your account, we will remove your personal data within 30 days, except where we are required to retain certain information by law.

Course completion records may be retained in anonymised form for platform analytics.

CHILDREN’S PRIVACY
